Job Type: Full-time / part-time

Reports to: Principal/Managing Director

 

Position Overview

We are seeking a highly organized and detail-oriented Office Manager to oversee daily operations at our architecture and design firm. This role is essential in ensuring smooth office administration, financial processes, client relations, and marketing efforts. The ideal candidate will be a proactive problem solver with excellent communication skills and a strong ability to multitask in a creative, fast-paced environment.

 

Key Responsibilities

Billing & Financial Management

  • Oversee client invoicing, accounts receivable, and payment follow-ups.

  • Coordinate with accountants/bookkeepers for financial reporting and payroll.

  • Track project budgets and expenses, ensuring financial accuracy and efficiency.

  • Fluency in accounting software such as BQE CORE.

Client & Account Relations

  • Serve as the primary point of contact for clients, vendors, and consultants.

  • Maintain strong client relationships through proactive communication and support.

  • Assist in contract management and project documentation.

Marketing & Business Development

  • Assist in creating and executing marketing strategies to promote the firm’s services.

  • Manage social media accounts, website updates, and email campaigns.

  • Support the preparation of proposals, presentations, and marketing materials.

  • Maintain client and project databases for networking and outreach efforts.

 

Qualifications & Skills

  • Experience: 3+ years of office management experience, preferably in an architecture, design, or creative industry.

  • Education: Bachelor’s degree in Business Administration, Marketing, or a related field (preferred).

  • Software Proficiency: Microsoft Office Suite, QuickBooks (or similar accounting software), Adobe Creative Suite, CRM software, project management tools.

  • Marketing Skills: Knowledge of digital marketing, social media management, and content creation.

  • Financial Acumen: Understanding of basic accounting principles and billing processes.

  • Strong Communication: Excellent verbal and written communication skills.

  • Organizational Skills: Ability to manage multiple tasks, deadlines, and priorities efficiently.

  • Attention to Detail: High level of accuracy in financial and administrative work.

  • Problem-Solving: Proactive approach to challenges with the ability to work independently.

Full-time positions for Intermediate Level Architects and Urban Designers

​

Join our team as an Intermediate Full Position Architect and Urban Designer, where you'll be at the forefront of shaping the future of urban design and architecture. You'll play a pivotal role in designing, producing, and managing various projects, from infrastructure and station planning to intermodal stations. Develop project visions by collaborating with team members, clients, and stakeholders, using clear and concise communication and presentations. If you're passionate about making a significant impact in architecture and urban design, this role is for you. 

Expertise and Abilities:   

  • Three years minimum professional experience.  

  • Bachelor's degree in Architecture is required, and a Master's degree is a plus. 

  • Extensive professional Revit Architecture experience and Microsoft Office experience are required.   

  • A plus is Rhino 3D, Grasshopper, Lumion, and Adobe Creative Suite.    

  • Project management, construction administration, and writing skills for reports and proposals are preferred.  

  • Must have strong interpersonal skills and experience coordinating with architectural teams, clients, consultants, and contractors.  

  • Architect license and LEED accreditation are a plus.

Responsibilities:  

  • Participate in the design and production using Revit BIM and coordinate the production of architectural documents and specifications.  

  • Produce the design, production, and management of urban designs for large and small public realm projects such as Infrastructure/Station Planning and Design, Urban Corridor Plan, and Pedestrian and Active Mobility Facilities.     

  • Produce the design, production, and management of architectural and urban design projects such as a central intermodal station, station design (commuter, light rail, BRT, and heavy rail), and bridge design.   

  • Progress the project's vision by leading and collaborating with team members, clients, public agencies, and stakeholders with graphically and verbally clear, concise communication and presentations.  

  • Manage the development of projects from concept to construction documentation with a balance of design and technical expertise.

KGP believes that the best way to advance the architectural profession is to help develop the next generation of architects.   We provide paid internships with flexible schedules to architecture students to allow aspiring architects to excel in their academic endeavors while exposing them to an immersive experience in the professional environment.
